Request to Terminate Your Rental Agreement 

In order to end/terminate your rental agreement, we require you to tell us in writing by completing the form below. 

If your vehicle is returned without telling us in writing, this is a breach of contract from your terms and condition.

Termination Request Checklist 

Minimum Contract Period 

Have you completed your minimum contract period? 

This is defined as being 8 full weeks (not including your notice period) from the start date of your rental agreement. 

If you are looking to terminate your rental agreement early, we would like to make you aware of the following: 

More than 72 hours after the Rental Agreement start date, should you wish to terminate the Rental Agreement, you are required to tell us in writing by completing the form below and provide us with 7 days’ notice during which you will be liable for all contracted charges.

By terminating this agreement early, you will immediately be liable for:

Any arrears of Rental Agreement fees and other amounts due and payable at the time (including for the avoidance of doubt any fines, tolls, and other charges)
Rental Agreement fees for the remainder of the Rental Agreement term.
Any other amounts which may become due and payable under this Rental Agreement.
Cancellation Fee: You must pay a cancellation fee. The fee will be 20% of the outstanding weekly payments or 4 weeks’ total payment, whichever is higher.

This cancellation fee must be paid before the cancellation can be confirmed and before you return the vehicle.

Notice Period

To provide notice of your intention to terminate your rental and serve your notice period, you must complete the form below.  We will not accept any other form of request to terminate your rental.  You must provide 1 weeks’ notice.  This cannot be included within your minimum rental period. Your overall rental period must be at least 9 weeks from the start date of your agreement for us to accept the vehicle return.

Returning the Rental Vehicle

You are required to return the vehicle on the agreed appointment date and time to the agreed return location.  The return location will be communicated to you by a Rapid team member.  Return appointments will be offered Monday-Friday, 09:30-16:00.  We will not accept vehicle returns outside of these times.  You are required to compete a vehicle handover process and provide your signature as confirmation that the vehicle has been returned and that your rental has ended.  You are not permitted to return the vehicle to us outside of usual business hours, unless expressly agreed in writing by us. If you fail to return the vehicle as stated above, we will not consider the vehicle as returned and the full rental terms and conditions will remain in force.

Vehicle Handover Process

On arrival, a Rapid Handover Specialist will greet you and will inspect the vehicle.  A vehicle condition report will be produced for our mutual records.  Acceptable conditions of vehicles, (excluding damage/defects) that you should consider are as follows:

Vehicle cleanliness

Is the vehicle cleanliness up to an acceptable standard? If not, valet charges may apply.

Fuel/Battery Charge

Are you returning the vehicle with the same fuel/charge level as when the rental started?

Accessories

Are all accessories listed as being present at the start of the rental present?

The Handover Specialists will report on vehicles as they are presented. Should you disagree with their findings, a manager will be available to discuss your concerns.

Deposit Return Policy

Your deposit will be returned no earlier than 14 days after the rental is terminated.  This is to ensure that all possible future charges, for example penalty charge notices are received and processed. Your deposit will be refunded partially or fully subject to satisfaction of the terms and conditions being met.  These will include but are not limited to the following:

  • Vehicle Condition: Return the vehicle in the same condition as received, except for normal wear and tear.
  • Fuel/Battery Charge Level: Return the vehicle with at least the same amount of fuel as when it was received, or pay the forecourt price for any shortfall.
  • Inspection: The vehicle must be available for inspection upon request during the rental period.
  • Damage and Repairs: You are liable for any damage to the vehicle and must use an approved repair centre. Additional charges may apply if the vehicle needs more than standard cleaning.
  • Excess Mileage: You will be charged for any mileage over the agreed limit.
  • Return Timing: Return the vehicle immediately at the end of the rental period or arrange for its collection. Failure to do so will result in additional charges.
  • Outstanding Charges: Your deposit return is subject to the satisfaction of all outstanding charges, including future PCNs, damage, and over-mileage fees.
